JOB TITLE: Supervisor Inventory operations


SHIFT: Day – 37 hours per week

WORKING PATTERN: Monday to Friday


Under the supervision of the Operations Manager, the Operations Lead manages the day-to-day activities within the different operational teams, ensuring Business Unit Leaders and all operators are clear of their specific work objectives, by providing general guidance on operational tasks. According to people management guidelines provided by Workforce Development specialist, he/she is responsible for the commitment and development of Business Unit Leaders and staffs under his/her responsibility. In partnership with the Workforce Development specialist, the person ensures the required training level is maintained among workers to ensure multi-skilling. The Operations Lead collaborates with the Lean department to ensure that productivity level is aligned to the defined production plan, recommends corrective actions to reach business objectives and guarantees the SLA. In addition, he/she contributes to the continuous improvement of the service provided to customers. Finally, the Operations Lead manages the top down communication, making sure all business units provide the same efficient message to the operations.

More specifically:

  • In the inventory area, he/she is responsible for order filling, goods in, replenishment and labeling operations. The Operations Lead converts the operational forecasts into practical working needs. He/she works in close cooperation with the distribution department to make sure business objectives (such as output and productivity) are met.

  • In the distribution area, the person handles packing, small and large orders, LSD and solutions operations. The Operations Lead converts the operational forecasts into practical working needs. Operations Management

  1. Define and measure productivity targets per Business Unit, and make sure they are transmitted and understood by operations.

  2. Make sure production priorities are followed.

  3. Ensure the correct workload is balanced between departments under his/her responsibility.

  4. Implement productivity and workload analysis tools to track productivity and activity variances in order to justify gaps between budget and actual achievements.

  5. Analyze gaps root causes, take operational decision accordingly and commit Business Unit Leaders.

Headcount Planning Management

  1. By using data and tools, such as Proteam and Procost, establish planning for the daily/monthly resources, adapt resources to workload and address staff needs.

  2. Is the contact point with the temporary agency.

  3. Work in partnership with colleagues in charge of Lean and Workforce Development whom also ensure backup roles for this planning aspect.

Corrective actions to align output to the production plan

  1. Take appropriate business decision to maintain service level compliance.

  2. Request extra hour when necessary or rebalance resources within the different Business Units.

  3. Challenge productivity and quality along the chain, by providing feedback, motivating and empowering staff.

Team coaching and people management

  1. Provide leadership, motivation, direction and focus to the Business Unit Leaders, and their staffs.

  2. Is responsible for Business Unit Leaders’ commitment, empowerment and development (through individual meetings, documented performance reviews, management feedbacks, etc.)

  3. Ensure staff is aligned to internal rules and policy and attain targeted performance for all listed functions in the areas of operating efficiency, adherence to schedules, absenteeism, quality, regulatory compliance, cost and customer service.

  4. Supervise and standardize the absenteeism process implementation with the Business Unit Leaders and implement preventive or corrective actions if necessary.

  5. Identify gaps between expectations and actual performance, design development plans, ensure follow-up and take relevant actions when necessary.

Interactions with Lean and Workforce

  1. Ensure QA (SOP/GMP) and standard procedures are up-to-date and followed by the staff and is responsible for the procedures of his/her department.

  2. Maintain 5S methodology.



Technical skills

  • Understanding of inventory and distribution management and flow of goods principles within a warehouse (order preparation)

  • Good understanding of major financial concepts including costing and ROI calculations

  • Information Technology – Knowledge of WMS system and ERP system

  • Good knowledge of Excel and PowerPoint for reporting purposes
